Terms of Service

TripDossier is intended for use by licensed healthcare providers and their authorized staff. Each TripDossier account is created by a pharmacy owner (the “Owner”), who registers, controls the account, and is authorized to act on behalf of the pharmacy or organization the account represents.

During registration, the Owner will be asked to confirm a licensure attestation covering their own licence. By checking that box, the Owner represents and warrants that they are a licensed pharmacist in good standing in the province they specify, and that the licence number and supporting document they provide are accurate and current.

An Owner may invite additional pharmacists (“Staff Pharmacists”) to use the Service under the pharmacy’s account. When inviting a Staff Pharmacist, the Owner must confirm that they have personally verified that pharmacist’s licence — the Owner represents and warrants that the licence number and province of licensure entered for that Staff Pharmacist are accurate, and that the named individual is a licensed pharmacist in good standing. By accepting an invitation, creating login credentials, and using the Service, a Staff Pharmacist in turn represents that the licence information associated with their account is accurate, and agrees to promptly notify TripDossier and the Owner of any change to their licensure status.

TripDossier may independently verify any of this licensure information against the relevant provincial licensing body at any time, and may suspend or reject any account or membership where licensure cannot be confirmed.

TripDossier generates printable travel vaccine recommendation brochures based on publicly available data from the U.S. Centers for Disease Control and Prevention (CDC) and, where applicable, third-party travel requirements data providers. The Service is a reference tool intended to support, not replace, the clinical judgment of a qualified healthcare provider.

Reports generated through the Service — including vaccine recommendation brochures, Proof of Vaccination records, and prescriptions — are available to view, download, or print for 60 minutes from the time they are generated. After that window, the report and the underlying data used to generate it are automatically and permanently deleted from TripDossier’s systems and cannot be recovered or regenerated from the same data. If a report is not retrieved within this window, producing it again requires generating a new report.

Brochures generated by TripDossier are for informational purposes only and do not constitute medical advice. TripDossier does not guarantee the accuracy, completeness, or current validity of any vaccine recommendation displayed. Healthcare providers using the Service remain solely responsible for verifying recommendations and exercising independent professional judgment before advising any traveler. TripDossier is not a substitute for consultation with a licensed healthcare provider, and all generated brochures include a disclaimer to this effect.

Where a report, Proof of Vaccination record, or prescription is generated and attributed to a specific pharmacist, that named pharmacist is professionally responsible for the clinical decisions reflected in that document — including whether to prescribe, the product and dosing selected, and any item the Service flags as requiring pharmacist judgment. TripDossier provides decision-support information and document generation tools only. TripDossier does not practise pharmacy, does not prescribe or dispense medication, and does not provide medical advice directly to Travelers.

TripDossier accounts are structured around a pharmacy, not a single individual. Each pharmacy account has one Owner and may have any number of invited Staff Pharmacists, each with their own individual login credentials, licence number, and province of licensure.

The pharmacy is the contracting party under these Terms. Report credits are held by the pharmacy, not by any individual pharmacist, and only the Owner may purchase additional credits (see Section 5). The Owner is responsible for maintaining accurate business information (name, address, phone, logo, licensing details) for use in generated documents, and for the pharmacy’s compliance with these Terms, including the conduct of any Staff Pharmacist using the account.

Staff Pharmacists are authorized users of the pharmacy’s account, invited by the Owner. The Owner determines the hours during which each Staff Pharmacist may access the Service; a Staff Pharmacist has no access outside those hours, and no access at all until the Owner sets a schedule for them. The Owner may remove a Staff Pharmacist’s access at any time, and removal takes effect immediately.

Login credentials are personal to the individual they are issued to and must not be shared between pharmacists — including between an Owner and a Staff Pharmacist, or between two Staff Pharmacists. This matters beyond ordinary account security: reports, Proof of Vaccination records, and prescriptions generated through the Service are attributed to the specific pharmacist who generated them, and, other than that pharmacist, no one — including the Owner — may complete its Proof of Vaccination form or issue its prescription. Sharing credentials undermines this attribution and may result in a document being issued in, or attributed to, the wrong pharmacist’s name.

You are responsible for maintaining the confidentiality of your own login credentials and for all activity under your individual account.

TripDossier operates on a pay-as-you-go credit model. Reports are generated using credits purchased in advance:

• Free trial — 3 report credits at no charge, no payment method required
• Starter pack — 10 report credits for $149 CAD
• Growth pack — 30 report credits for $399 CAD
• Volume pack — 75 report credits for $899 CAD

Credits are purchased as a one-time payment via Stripe and do not expire. There are no recurring subscriptions or monthly charges. Each report generated deducts one credit from your balance. If your credit balance reaches zero, you must purchase additional credits to continue generating reports.

All credit pack purchases are final and non-refundable, except as required by law. Pricing may change at any time for future purchases; credits already purchased are unaffected by price changes.

You agree not to:

• Use the Service to generate brochures for purposes other than legitimate travel health consultations
• Attempt to circumvent report limits, expiry mechanisms, or credit balance restrictions
• Reverse engineer, scrape, or extract underlying vaccine recommendation data for use outside the Service
• Use the Service in any way that violates applicable law or the rights of others

Our collection and use of personal information is governed by our Privacy Policy. Generated reports containing traveler information are automatically deleted after a time-limited access window, as described in the Privacy Policy.

TripDossier and its underlying technology, design, and content (excluding CDC-sourced public health data) are the property of TripDossier. You retain ownership of the business information and logo you upload, and grant us a limited license to use it solely to generate your brochures.

Vaccine recommendation content is derived from publicly available CDC guidance. We are not affiliated with or endorsed by the CDC or any government health agency. Third-party data is provided “as is” and may not reflect the most current guidance at all times.

To the maximum extent permitted by law, TripDossier and its operators are not liable for any indirect, incidental, or consequential damages arising from use of the Service, including but not limited to reliance on generated vaccine recommendations. Our total liability for any claim arising from the Service is limited to the amount you paid us in the 12 months preceding the claim.

We may suspend or terminate your account for violation of these Terms. You may close your account at any time through Settings or by contacting us.

We may update these Terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

These Terms are governed by the laws of the Province of British Columbia and the federal laws of Canada applicable therein.
